Responses to free-text questions in a survey are displayed in our comment reports. These reports can compile multiple free-text questions into a single location. You can house all qualitative response data in a single report for ease of access.
Accompanying each comment is a field which shows you which question this comment was in response to. Of course, you may not wish to see all questions all of the time. Customise which questions you want to include in your report view by selecting from the Questions drop-down menu in the top right hand corner of the page.
We often choose other fields to show alongside the comment to provide context to each response. In the example above, we showed Hospital and Procedure. These fields can be altered based on individual client needs and could include other data, such as age group, surgeon, facility and procedure.

Full Response Summary
This icon may only show if the respondent has agreed that their survey feedback be shared with the user. Click on the icon to view the full survey response (you can then also download the response as a PDF file).
Add to Action Register
(Only available if Action register being used) If this icon appears next to a comment the patient’s survey record is not in your Action Register so that person has not asked to be contacted.If you feel the comment should still be acted upon, click this icon to add the record. If the survey was anonymous no contact details will be available but you can still address issues raised.
View in Action Register
(Only available if Action register being used) If this icon appears next to a comment, you know that the patient’s survey record is already in your Action Register. If you click this icon, you will automatically move to your Action Register and have that record displayed (assuming as a user you have permission to access the Action Register).
You may wish to conduct your own offline analysis of the comments displayed in your report. To do this, click on the download icon and select your file conditions.
Searching for Key Words
You can refine comment results by particular words using two text search features on this report.
1) World Cloud
The Word Cloud shown below is generated from comments made in the last two months.The more frequently a word is used in responses, the larger it appears in the Word Cloud. In the example below, you can see that "nurses", "room" and "staff" are the most common words mentioned.
Find the Word Cloud at the bottom of your comment report. Click on a word in the Word Cloud to filter the comments to only show those that contain that word.
2) Text Search Filter
You can also use the Text Search filter to search for specific words of your own choosing. This is located in the filter bar at the top of the report page. Simply type a word (or part of a word) into the text search filter and click Apply, just as you would for other filters.
