Scheduled Reports lets you automatically send an exported PDF of a dashboard to your or another reporting user's email inbox on a regular basis—weekly, monthly, or quarterly.


🛠️ How to Access Scheduled Reports

  1. Open the Apps menu, found in the top right corner of your reporting portal.

2. Select Scheduled Reports from the list.


📧 How to Create a Scheduled Report

  1. Go to 'Scheduled Reports':
    Open the Apps menu and select Scheduled Reports.

2. Click on 'Add New':
This opens the form to create a new schedule.


3. Set Up the Report:

  • Report Name: Choose a name for the report that is clear, e.g 'Hospital Overview Quarterly Report'

  • Dashboard: Select the dashboard you want to send.

    • You can only choose from published dashboards you and other users have access to.

  • Frequency: Choose how often the report should be sent:

    • Weekly: Views as of Sunday.

    • Monthly: Views as of the last day of the month.

    • Quarterly: Views as of the last day of the quarter.

2. Select a Filter 'Selector' (Optional):
If needed, you can choose a filter to be applied to the report. Note that this isn't mandatory to fill in.

  • By default, if a user has a preset, then they will only see dashboard data for their preset.

  • This only appears if the Dashboard has a selector

3. Add Addressees:

  • For individuals: Start typing the recipient's name a list of matching addressees will appear—click to select.

  • For a user group: Use the drop to select 'By Role' then 'Choose a role'; this will apply the scheduled report to all users with this role.

4. Click 'Create':
Press Create to save and activate the schedule.


📅 Viewing and Managing Scheduled Reports

  1. View Created Schedules:

    • Users can see all the schedules they have created on the 'Scheduled Reports' home page.

  2. Search by Report Name:
    Start typing in the search bar to filter the list by report name.

  3. Check Report Details:

    • The list shows the Report Name, Frequency, and Status.

    • Click the arrow on the right to expand the row and see the report parameters.


🔄 Managing Scheduled Reports

  • Deactivate/Activate Reports:
    You can temporarily turn off a report. Inactive reports will not be delivered.

  • Check Last Run:
    See the date and time of the last sent report.


📧 Email Delivery

  • The report is sent as an email with the attached dashboard exported PDF.

  • Delivery is scheduled to start the next day after setup.

📄 Example of Scheduled Report

On a scheduled report in your inbox, you'll see:

  • Name of the scheduled report

  • User presets

  • Each widget's: Date range, response count, filters applied

  • Links used in text widgets can be clicked


🕵️ Troubleshooting Tips

  • If a dashboard isn’t appearing, ensure it’s published and you have access.

  • Only users with the necessary permissions will appear as addressees.

  • Make sure your report is set to Active if it’s not being delivered.
